How to manage email attachments
Quotify lets you upload PDF files and attach them to proposal emails and customer quote confirmation emails. You can manage your files in one place and choose which ones to include each time you send.
This is a Pro feature.
How to upload attachments
- Open the Quotify app from your Shopify admin.
- Click Settings in the left sidebar.
- Click Attachments in the settings menu.
- You will see a section titled Manage attachments with the description "Upload PDF documents to attach to customer emails."
- Click Select files and choose one or more PDF files from your computer.
- Click Upload files to upload them.
Your files appear in the Uploaded files table, which shows each file's name, size, and upload date.
How to delete an attachment
- Go to Settings → Attachments.
- Find the file you want to remove in the Uploaded files table.
- Click the delete icon next to the file.
The file is removed immediately. If it was selected as a default attachment in your proposal or notification settings, it will no longer be included in future emails.
How to set default attachments for proposals
You can choose attachments that are pre-selected whenever you send a proposal by email.
- Go to Settings → Proposals.
- Scroll down to the Attachments section.
- Select the files you want to include by default with every proposal email.
- Click Save.
When you send a proposal, these files will already be checked in the send form. You can still add or remove attachments for each individual proposal before sending.
If you have not uploaded any attachments yet, this section will show "No attachments uploaded yet." with an Upload files link that takes you to the Attachments settings page.
How to set default attachments for quote confirmations
You can also attach files to the confirmation emails that customers receive after submitting a quote request.
- Go to Settings → Notifications.
- Click the Customer notifications tab.
- Scroll down to the Attachments section.
- Select the files you want to include with every customer confirmation email.
- Click Save.
If you have not uploaded any attachments yet, this section will show "No attachments uploaded yet." with an Upload files link that takes you to the Attachments settings page.
How to choose attachments when sending a proposal
When you send a proposal by email, you can choose exactly which files to attach to that specific email.
- Open the proposal you want to send.
- Click Send Proposal.
- Make sure the email option is enabled.
- Below the email message field, you will see an Attachments section listing all your uploaded files.
- Check or uncheck the files you want to include with this email. Any default attachments from your proposal settings will already be checked.
- Click Send Proposal to send the email with the selected attachments.
What happens
- Uploaded files are stored securely in cloud storage and are available for all future emails.
- When you send a proposal or a customer receives a quote confirmation, the selected PDF files are attached directly to the email.
- Deleting an attachment from the settings page removes it from future emails but does not affect emails that have already been sent.
Good to know
- Only PDF files are supported.
- Each file can be up to 2 MB in size. Files under 1 MB are recommended for reliable delivery.
- You can upload up to 15 attachments in total. The upload area shows how many more you can add.
- Default attachments save time if you always include the same documents (like terms and conditions or a product catalog), but you can override the selection for any individual proposal.
- Attachments are separate from the proposal PDF. If you have PDF generation enabled in your proposal settings, the generated proposal PDF is attached in addition to any attachments you select here.
